A customer portal can reduce repeated exchanges when buyers need to review quotations, approve documents, find records or understand progress. The design starts with the organisation and decision, not simply a login screen.
Map roles before screens
A Polish supplier may work with several people at one client, separate branches and a purchasing approver. We discuss invitations, permitted actions, commercial information and what happens when a contact leaves. Internal notes and customer messages are treated separately.
The scope can include request histories, versioned documents, approvals, negotiated catalogue views and links to supported business systems. Binding acceptance and confidentiality arrangements need approval by the responsible business and legal contacts.
Make change understandable
A revised quotation or drawing should not silently inherit an approval from an older version. We agree how staff and customers recognise the current record and what needs another decision.
Data access, retention and cross-border supplier handling require suitable review. We use fictional examples for early design and arrange actual access separately.
Let a buyer review the drawing they actually received
A hypothetical Polish industrial supplier sends drawing revision C and a quotation to two people at a customer organisation. The engineer can ask a technical question; the purchasing contact can perform the approval agreed by the business. If the supplier replaces the drawing with revision D, the screen should show what changed and which commercial or technical decision remains outstanding. Approval of C must not quietly appear as approval of D.
During acceptance, remove the purchasing contact and invite an authorised replacement. Check access to the current quotation, older discussion and negotiated prices for a different customer. The supplier decides who may see each record and what constitutes binding acceptance. We design the software around those approved rules and can demonstrate the result with fictional organisations before anyone supplies actual confidential drawings.
Read when approval needs a portal and B2B price permissions. Bring a made-up customer organisation and its roles to a portal discussion.
