Bring an example that shows why the next question is necessary

The first conversation should help identify what needs investigation. You do not need a completed specification, a preferred framework or access credentials. A current page and a general description of the question it fails to answer can be enough.

Suppose a buyer asks whether an enclosure can be supplied with a different cable entry. The public page lists standard dimensions, but the office needs to assess the adaptation. That example reveals several questions: how the option is described, what the enquiry should contain and who can approve the answer.

Explain the present route

Describe where the person starts, which information they use and what they do next. If staff copies the request into another tool, mention that step. The apparent website problem may be an unclear fact, a missing relationship or a receiving process that nobody owns.

Use a blank document or fictional record. Keep confidential drawings, personal records and access information out of the initial message. Detailed inspection can follow an agreed handling arrangement if the project needs it.

Separate the desired result from the proposed feature

“Customers can ask about an adaptation with the correct product reference” describes a result. “Add a portal” describes one possible implementation. The portal might be justified if the relationship includes continuing documents and decisions, but a simpler enquiry improvement could meet the immediate need.

Name the result you want reviewed first. Include one exception, such as a product whose published drawing is historical or a requested quantity with no unit. That helps establish the boundary of the task.

Identify decisions that are still open

Who approves technical claims? Is Polish content ready for contextual review? Which existing system must remain authoritative? Is there an external deadline, and what creates it? Unknown answers should be visible before a proposal relies on them.

An initial discussion does not approve access, production changes or a delivery schedule. Where uncertainty prevents a responsible implementation scope, a defined planning or investigation stage can produce the missing evidence.
